Facilities Management

Last updated

In short

Facilities Management defines the location hierarchy that every other CAFMTEK module points to. Clients set their own tiers, such as campus, building, floor and zone, then create the actual places. Every work order, asset, patrol and visitor references a location created here.

Applies to: Set up before assets, PPM and work orders

This is the one-time setup that anchors the whole system.

Before assets are loaded or a single job is raised, the places have to exist. Facilities Management is where they are defined. It is deliberately not fixed, because a hospital campus, a retail portfolio and a single office tower do not share a structure.

Your own tiers

Clients define their own levels. A common shape is campus, then building, then floor, then zone, but the tiers are yours to set. Once the structure is agreed, the actual places are created within it.

Getting this right early matters more than it looks. Every asset hangs off a location, and every report that compares one building to another depends on the structure being consistent across them.

What it includes

  • Automatic QR labels: Generated per location for on-site scanning.
  • Map pinning with geofences: Locations placed on a map, with a boundary around them.
  • Area measurements: Recorded against each location.
  • Multi-contract location sharing: A location can serve more than one contract.

Day to day facilities operations across buildings and zones, with work, assets and locations linked to the same records.

How it connects to other modules

  • Asset Management: places every asset in this hierarchy.
  • Task Management: records where each work order happened.
  • Contract Management: assigns a location hierarchy to each contract.
  • Self Services: uses the location from a scanned QR sticker to fill in the request.

Frequently asked questions

Can we use our own location structure?
Yes. Clients define their own tiers and then create the places within them.

How deep should the hierarchy go?
Deep enough to answer the questions you actually ask. Keeping the depth consistent across buildings matters more than the number of levels, because mixed depth breaks reporting later.

Can a location belong to more than one contract?
Yes. Locations can be shared across contracts.

Do locations get QR codes?
Yes. QR labels are generated automatically for on-site scanning.
