CAFM vs CMMS Software Comparison

In short: CAFM covers the whole facility, including space, assets, work orders and reporting. CMMS covers maintenance, including PPM schedules, spare parts and equipment history. If your main job is keeping equipment running, a CMMS is enough. If you also manage space, contracts and multiple buildings, you need CAFM.

Most teams asking this question are not really choosing between two products. They are trying to work out how wide their problem is. That is the question worth answering first.

What is CAFM software?

CAFM stands for computer-aided facility management. It is the system that holds everything about a building in one place: the asset list, the floor plans, who sits where, the job requests coming in, the maintenance schedule going out, and the reports that come from all of it.

A CAFM system is built for the person responsible for the building, not just the equipment inside it. If you have to answer questions about space as well as questions about chillers, that is CAFM territory.

Typical functions:

  • Space management. Who occupies what, how much of it is actually used, and what to do when a department grows.
  • Asset register. Every asset, where it is, what condition it is in, and what has been done to it.
  • Work orders. Requests come in, get assigned, get completed, get recorded.
  • Reporting. SLA performance, cost per building, maintenance history, space utilisation.

What is CMMS software?

CMMS stands for computerised maintenance management system. The scope is narrower on purpose. It exists to keep equipment running and to prove that it was maintained.

Typical functions:

  • Preventive maintenance scheduling. Jobs generated on a calendar, or on meter readings such as running hours.
  • Work orders. Same idea as CAFM, focused on maintenance jobs.
  • Spare parts and inventory. What is in the store, what has been used, what needs reordering.
  • Equipment history. Every repair and every failure, kept against the asset.

A CMMS will usually do maintenance in more depth than a general CAFM system. That depth is the trade-off for the narrower scope.

The overlap is real. Both do work orders. Both do preventive maintenance. Where they differ is everything around maintenance: space, occupancy, contracts and facility-wide reporting.

Which one do you need?

Three questions decide it.

Who asks you for reports, and what do they ask about? If the questions are all about downtime, breakdowns and PPM compliance, a CMMS answers them. If you are also asked about space, tenant requests, contractor performance or cost per building, a CMMS will not.

Do you manage space, or only equipment? This is the clearest dividing line. A CMMS has no answer for “which floor is underused” or “where do we put the new team”.

How many buildings, and do they belong to different owners? One site with heavy equipment suits a CMMS. Multiple buildings for multiple owners, each with its own reporting, is CAFM work.

If you are still unsure after those three, start with what hurts now. Teams that buy a broad system to solve a narrow problem usually end up using a quarter of it.

Can you use CAFM and CMMS together?

Yes, and plenty of organisations do, usually because the CMMS came first and the CAFM system came later when the job grew.

It works, but check one thing before you commit: where the asset register lives. If the same chiller exists in both systems with different records, you now have two versions of the truth and someone has to reconcile them. Decide which system owns the asset record, and make the other one follow it.

Where does IWMS fit in?

IWMS stands for integrated workplace management system. It is the wider category again, adding property and lease management, projects and sustainability reporting on top of what CAFM does.

Think of it as scope rather than quality. CMMS covers maintenance, CAFM covers the facility, IWMS covers the property portfolio. Bigger is not better here. It is only better if you actually have those problems.

Is CAFM worth it for a small facility?

It can be, but not automatically. The test is whether you have facility problems beyond maintenance. A single building with ten technicians and no space planning may get more value from a well-run CMMS than from a CAFM system where most modules sit unused.

What usually pushes small teams towards CAFM is not size. It is reporting. The moment you have to prove SLA performance to a client or a landlord, spreadsheets stop being enough.

Which industries use CMMS most?

Anywhere equipment failure stops the work: manufacturing, healthcare, hotels, data centres. The more the business depends on machines running, the more the maintenance depth of a CMMS earns its place.

That said, industry matters less than structure. A hospital facilities team responsible for space, contractors and compliance needs CAFM, even though the equipment is critical.
